Introduction The Virtual Safe is an area within your system where all revenue and cash outlays are recorded. For example, all the monies paid by your Clients on credit, all the takings for the day, and any cash expense (such as petty cash expenses, wages paid in cash, supplier invoices paid in cash, etc.). It is called a “Virtual Safe” because its transactions and running balance do not necessarily match the transactions and balance of your physical till. So you need to picture this Virtual Safe as a holding pool for all revenue received and all cash outlays incurred.
The Virtual Safe Accounts File lists all available virtual safe accounts and their current balances. A total balance of all available accounts is shown at the bottom of the form.
From this form you can: •Record Deposits - To Record a Deposit from virtual safe accounts into a bank account, highlighting a virtual safe account, then click the Virtual Safe Deposits button. This will load the Virtual Safe Deposit Details form where you can enter the details for this deposit. •Manage Transactions - To manage a virtual safe account's transactions, highlight the account, then click the Transactions button. This will load the Virtual Safe Transactions File which displays transactions for the selected account. Transactions shown include Payments, Receipts and Deposits. Payments and Receipts can be added, viewed, modified and removed from this form. •Print a Report - To print a report showing the listed virtual safe accounts and their balances, click the Print button. •Reload List - This option is useful if you have a multi-user license where more than one user can access Polygon Back Office at a time. Click the Reload List button to update the list with any changes made by other users such as newly added or recently deleted transactions.
