Understanding Departments

If you have purchased a Polygon Back Office multi-department license, you are able to create multiple departments within your software and allocate specific revenue, expenses and costs to those departments. You can therefore obtain financial reports such as profit & loss on specific departments.  The system ships with a default department called ‘Admin’. This department acts as the ‘master file’ for all other departments. Please note, all Account Groups and Accounts are created in the Admin department and can then be ‘exported’ to other departments if required.

If you have not registered for multiple departments, the only department you can work in is ‘Admin’. The system will not allow you to create any more departments.

The Departments Accounts File allows you to manage which departments are available within Polygon Back Office.  Each installation of Polygon Back Office will have a maximum limit to the number of departments which can be created.  If you require more departments contact your supplier to discuss adjusting your license.  

 

Departments can be managed with the following options:

New - To create a new department click on the New button.  This will load the Department Update form where you can enter the Department Details.

Change - To change the name of a department, highlight the department and click Change.  This will load the Department Update form where you can alter the name.

Delete - To remove an existing department highlight the department and click Delete;

Reload List - This button is useful if you have a multi-user license where more than one user can access Polygon Back Office at a time.  Click this button to update the list with any changes made by other users such as newly created or recently deleted items;

Print - Clicking Print generates a report showing all departments and their department numbers.  This report can be saved, printed or converted to CSV format which can be loaded into spreadsheet programs.
