POS Staff Accounts

This is where a user accounts for every staff member that will use the POS Terminals are created & managed. They are given a username, password and assigned certain privileges.

Every staff member needs a numeric password (PIN number) to be able to logon to the system and to be able to perform certain special or management functions at the POS Terminal  (eg. Processing a refund).  

Similarly, every staff member is given certain privileges to be allowed to perform certain functions. For example, management staff might be given full access and granted all privileges, whereas floor staff may be restricted and have limited privileges.

 

Note: If you have purchased the Polygon Payroll module, the POS Staff member will also be set up as an Employee in the Polygon Back Office system in order to calculate staff payroll information based on staff clock on/off times.  See section Polygon Payroll for more information on this topic.

The following options are available from the POS Staff Accounts file:

To create a new POS Staff Account - Click on the New button to access the POS Staff Details form where you can enter the staff member's details;

Handy Hint: To make data entry a more streamlined process you can take advantage of the New From functionality. By selecting an existing POS User Account and clicking on the New From button, the new POS User Account being created will automatically be loaded with some of same settings from the selected POS User Account (POS Location and Privileges). This is useful when creating a number of POS Staff whom will have the same privileges.

To edit an existing POS Staff Account - Highlight the account and click on the Change button.  This will load the POS Staff Details form which allows you to change staff account settings.  

To delete an existing POS Staff Account - Highlight the account and then click on the Delete button. Note: Only staff members who have no sales transactions recorded against them can be deleted. If the staff member has existing sales in the sales mix files, the staff member should be made inactive rather than being deleted.

To make a POS Staff Account Inactive - Highlight the  account and then click on the Change button to access the POS Staff Details form.  Un-tick the Active tick-box and click OK to save changes.   Inactive accounts can also easily be reactivated at a later time by ticking the Active tick-box again.  

Reload List - This button is useful if you have a multi-user license where more than one user can access Polygon POS Management at a time. Click this button to update the list with any changes made by other users, such as newly created or recently deleted accounts.

To Print - This button generates a printable PDF report which shows the POS Staff list currently shown in the POS Staff Accounts file. This document can be saved, printed or converted into a CSV file which can be loaded into spreadsheet applications such as Excel.
