Housekeeping

It is recommended that periodically some general maintenance or housekeeping be performed to ensure that your systems’ response time is minimised and your hard drive space is maximised.  Sales log and exception data is used in the compilation of sales reports in Polygon POS Management. Therefore this data should be retained for the period under which you based your reporting. That is, you should create a policy to retain this data for 1 month, 3 months, 6 months, 12 months etc.)  The Log Files Maintenance form allows you to purge Sales Log records and Exception records once they are no longer needed.  This recommendation is based on the assumption that sales data will be processed daily within Polygon POS Management.

Purging Sales Log Records Only

This data is used only in the Table Tracking Log and the Item Sales Log file and the compilation of the Sales by Sales ID report and reports under the Sales heading, which are designed only to aid in the terminal cash reconciliation process. Therefore it is not necessary to retain this data for long periods of time.  Data deleted in this process will no longer be available to the reports and files listed above.  To do this:

Enter the dates to which you wish to purge the Table Sales records;

Place a tick in the Delete  Sales Log Records box;

Press the Delete Now button.

You will be asked to confirm your instructions and the number of records to be deleted will be shown.

 

Purging Exceptions Log Records Only

You may choose to complete your housekeeping by purging the records which are used in the compilation of the Exceptions Report.  To do this:

Enter the dates to which you wish to purge from the Exception Log Records;

Place a tick in the Delete  Exceptions Log Records box;

Press the Delete Now button.

You will be asked to confirm your instructions and the number of records to be deleted will be shown.

 

Purging All Records

This will clear both the Sales Log Records and the Exception Log Records for the selected dates.  

Enter the date range to purge

Tick the Select All Log Files tick box

Click the Delete Now button

You will be asked to confirm your instructions and the number of records to be deleted will be shown.
