Polygon Inventory Application Settings

From Polygon Back Office,

Select File from the main menu, then click Application Settings, or,

Use the shortcut keys by holding Control and pressing A,

Expand the Polygon Inventory from the tree menu at the left of the form.\

Polygon Inventory Application Settings - General

Polygon Inventory General Application Settings Include:

•Auto number purchase order numbers - When this setting is enabled new purchase orders will automatically assigned a generated purchase order number.

•Allow weight/volume entry on stock entry forms - Enabling this option allows you to record stock counts in either the Stock Measure Unit (SMU) or in Kilo/Litre format.

•Enable PDE Device Interface - Enabling this setting allows the system to communicate with Portable Date Entry (PDE) devices.

•Use Current Cost for Stock Calculations - By default the Polygon Inventory system operates as an Average Cost system.  Tick this setting if you would prefer that all stock transactions are posted using the current pack cost (ex GST),

This section of the Polygon Inventory Application Settings determines whether an opening stocktake is required and how it is handled.  

General

Prime Current Stock Quantities Using Current Stock Balance - Enabling this setting will automatically populate stocktake figures with the current system balance.  This saves time because instead of needing to enter all figures in a stocktake from top to bottom, the figures are automatically populated and just the items that are incorrect are changed.  

Prime Stock Quantity Amounts In Loose Items - If the above ‘priming’ functionality is in use, there are two options:

1.Populate the Packs(SMUs) and Loose Items columns automatically (default), or,

2.Populate the Loose Items column automatically.  If this setting is enabled, any item which allows loose items to be entered will only be represented in loose items.  

Opening Stock

•No Opening Stocktakes are Required - Enabling this option indicates that an Opening Stocktake will not be required.  This is the case when a business opening without a current stock balance.

•Opening Stock Equity Account - If the above option is not selected, your opening stock assets must be recorded against a specified equity account.  To select an equity account, click on the select button.  This will display the Chart of Accounts File shown below.  To assign an equity account highlight the account name and click on the select button. We recommend using the Retained Earnings account.

Link Purchase Orders to POS Locations - This setting is available to users with a multi-location license.  When enabled purchase orders can be assigned directly to a location instead of a department.

Enable Protection of stock item fields from HQ stock updates - This setting allows a BOH user to modify specific components of a stock item independently to head office stock item details.  Updates downloaded from a head office location will not overwrite the local configuration of stock item settings.

Fields that may be updated by are:

•Preferred Supplier

•Supplier Reorder Codes

•Pack Cost

•Active Status

•Par Level

•Minimum Order Quantity

Note: For multi-departmental partner databases if a stock item is downloaded from HQ and changes to non-protected fields have occurred, these changes will also flow to that stock item in every department in which it exists.
