A credit may be forwarded to a Client for many reasons. A credit may not relate to a particular Invoice, such as a promotional activity organised by the client on your behalf, or it may relate directly to an Invoice which may or may not have already been paid. Where possible, your Credit Note should identify specific Sales Items so that these can be accounted for as well as credited. Polygon Back Office can generate a Credit/Adjustment Note which can either stand alone or be associated with a specific Invoice.
Generating a Client Credit Note
Press the New button to load the Client Transaction Details form which allows you to enter the Credit Note details;
Set the Transaction type to Credit Note;
Select the credit note date and enter a description
Record any sales items in the PLU Items List and/or Non-PLU Items List. See section Client Transaction Details for more information about entering sales items
Click OK to save this credit note.
Applying Credit Notes to Invoices
To apply a Credit Note to an Invoice:
1.Click the Batch Pay button to load the Client Batch Payments File;
2.Highlight the credit note which you wish to apply and then click the Add button;
3.Select the invoice which you wish to apply the credit note to and click the Add button;
The selected invoice and credit note will be added to the Transactions to Settle list on the right;
4.Repeat steps 2 and 3 until all the credit notes and invoices which you wish to settle are listed on the right;
5.Click the Settle button to display the Invoice Payment Details form where any additional payments can be recorded;
6.Click the OK button to save changes.
The order of credit notes and invoices in the Transactions to Settle List determines which invoice(s) a credit note will be applied to. When the batch is settled, the amount of each credit note is applied to the invoice immediately above that credit note, any remaining amount is then rolled up to the next invoice above and so on. If there are no more invoices above, the remaining amount from the Credit Note will roll downwards to the next invoice below the Credit Note and then down to the next invoice. The order of the credit notes and invoices can be changed by highlighting an item and then clicking the Move Up and Move Down buttons.
In the example below the Credit Note of $120.00 will be applied to the Invoice for $64 above. This leaves a remainder of $56.00. As there are no additional invoices above this invoice, the remaining amount will be applied to the invoice for $210.00 below the credit note.

Printing Credit Notes
To print a credit note, highlight the credit note and click the Change button. This will load the Client Transaction Details form. Click the Print button to generate a PDF credit note report. This report can be saved, printed or converted to CSV format.
