Opening Stock

If you have a new store with no opening stock balance, an opening stocktake is not required. Otherwise opening stock figures are entered once only for each department.   This section describes how to enter opening stocktake quantities.  In order to enter an Opening Stocktake, access Polygon Inventory Application Settings > Stocktakes and make sure the No Opening Stocktakes Required setting is un-ticked.

Entering Opening Stock Quantities

Follow these steps to enter an opening stocktake:

1.Select the appropriate date. Right click on the date text box to select the date from a date picker window.

2.Select appropriate filters.  The filters allow you to work with one Stock Type at a time, view only Active/Inactive Stock Types or Stock Items.  These filters can be combined.

3.Click the Get Records button to apply the selected filters and view the applicable stock items.

4.Enter stock quantities for each counted item (pack quantities and loose items) in the Stock Items tab.

1.Repeat steps 2 to 4 until all quantities have been recorded.

2.Review the General Ledger Adjustments in the GL Account Totals tab

3.Enter any notes about this opening stocktake in the Notes Tab

4.Click the Save Stocktake button.  Once the stocktake has been saved it can be re-opened and edited at a later time from the Stocktakes File

5.When all stock quantities have been entered, click the Process Stocktake button.  This will update the system stock quantities and adjust the general ledger accounts to reflect the value of the new stock balances.  This stocktake will be marked as processed and become read-only.

Note: If you are unable to Process the Opening Stocktake because the Process Stocktake button is disabled or greyed out, this is because a filter is applied to the Stock Items list.  Make sure that the Stock Type, View Stock Type and View Stock Item filters are set to All.  This is intended to prevent users from accidentally skipping data entry for Stock which has been filtered out.
