Departmental Export - Stock Items

Once you have created your required Stock Types and Stock Items, they can then be exported from the Admin department to any other departments which you have added to the system.  See section Polygon Back Office > Departments File for more information about adding and managing departments.

Note: This functionality is only available if you have purchased the Polygon Inventory add-on module and are registered for multiple departments.

 

You can export either:

The whole Department (including all Stock Types and Stock Items);

A selected Stock Type (including all the Stock Items within that group); or

A selected Stock Item (please note this will export the Stock Type and only the selected Stock Item).

Note: Items can only be exported from the Admin department which is selected from the top left of the Stock Items File.

 

Exporting to A Department

From Polygon Back Office,

Open the Stock Items File by clicking the Stock Items button on the toolbar,

Select the Admin department,

Select the desired a Stock Item, Stock Type or the entire Location and then click the Export to Department button.  

This will Display the Departmental Export form (shown below);

Click on the Select Departments button and choose the target department(s). That is, which departments you wish to export the selected item(s) to.

Note: If you are exporting to more than one department then you will need to select the enable Multiple Selection setting on the department pick list. The target departments box will be listed on the right hand side of the screen.  

Remove any Stock Items which you don't want to export and remove any departments which you do not want to export to.  This is done by selecting the item you wish to remove and then clicking the Delete Stock Item button or Delete Department buttons which are described below:

Delete Department Button

This will remove the selected department from the Target Departments list.  

Delete Stock Item Button

This will remove the selected stock item from the Stock Items to Export list.  This means when the Export button is clicked the removed Stock Item will not be exported.  

Finally when you have selected the desired stock items to export and departments to export to, click on the Export button to finish.

 

Handy Hint: It is often less time consuming to export the whole Department or Stock Type and then delete the Stock Items which are not required.
