Security roles define how a BOH user can use the Polygon POS Management and Polygon Back Office software by enabling and disabling features for specific users. Each BOH user can have their own security role, or a group of BOH users can share the same role.
This form allows you to edit the specific permissions for a user security role. Note: Only users who have been granted the Manage Security Roles application wide permission and the File > Application Settings Main Menu permission are able to access this form.
From Polygon Back Office or from Polygon POS Management,
Access Application Settings by either, pressing "Ctrl + A", or, selecting File from the main menu, then selecting Application Settings,
Access the Security Roles File by selecting Security from the left of the window, then clicking the Line Item button next to Security Roles,

Then click the New button to create a new User Security Role, or,
Highlight an existing user security role and click the Change button to modify the selected role.

When creating a new security role, begin by entering a Role Name at the top of the form. The role name will be used to identify this role when it is applied to user accounts.
Viewing Permissions
Permissions are grouped into five sections which are selectable from the menu at the left of the screen. To view or modify the permissions for one of these sections, click on the section name at the left of the window (Permission sections are listed at the left and Identified with this group icon ). This will list all the permissions for this section in a list at the right of the form. A tick mark next to permission a permission indicates the permission has been granted to this role. To toggle whether a permission is granted or revoked, highlight the permission and press the Space Bar on your keyboard, this will toggle on or off the tick mark at the left of the item. Permissions listed at the right of the form grouped together with other similar permissions, permission groups are identified with the group icon to grant or revoke all permissions within a group, highlight the group and press the Space Bar on your keyboard.
Grant All & Revoke All Buttons
Clicking the Grant All button or the Revoke All button will grant all permissions listed on the right or revoke all permissions listed on the right respectively. If you want to create a security role which has every permission enabled, remember to select each of the five permission sections at the left of the window and click the Grant All button for each set of permissions.
The five permission groups are described below:
These permissions apply to actions which can be taken in both Polygon POS Management and Polygon Back Office:
•Manage Users - Granting this permission allows users who are assigned this role to add or remove BOH user accounts and change account details including the Username, Password and which security role is assigned to a user account. Note: To use this permission, this security role must also grant the Polygon POS Management or Polygon Back Office File > Application Settings Main Menu permission.
•Manage Security Roles - Granting this privilege allows users who are assigned this role to add or remove security roles and change which permissions are assigned to a security role. Note: To use this permission, this security role must also grant the Polygon POS Management or Polygon Back Office File > Application Settings Main Menu permission.
•Delete Records - Granting this permission allows users who are assigned this role to delete any records which they have been granted access to. If this permission is revoked users will be able to view records which they have been granted permission to view, but they will not be able to delete any records.
•Print Records - Granting this permission allows users who are assigned this role to use the print buttons to print the contents of forms which they have been granted access to. Granting this permission also enables use of any reports which have been allowed in this security role. If this permission is disabled, all reports and form Print buttons will be unavailable to users who are assigned this security role.
•Polygon Accounting Access - Granting this permission allows users who are assigned this security role to open the Polygon Back Office BOH software.
•Limit Access to Stock Suppliers Only - This privilege is useful for staff with a stock controller role who don't need to see non-stock related supplier information. It restricts access to the suppliers file so only suppliers which are marked as stock suppliers are accessible and only transactions for stock suppliers are shown in the supplier transactions file.
•Polygon POS Management Access - Granting this permission allows users who are assigned this security role to open the Polygon POS Management BOH software.
•Edit Z-File Amounts - Granting this permission allows a user to edit the POS media totals from the BOH Revenue Download form before the revenue data is loaded into the BOH.

These permissions enable or disable Polygon Back Office reports which are available from the Reports menu. In order to access these reports this security role also requires the application wide permissions - Polygon Accounting Access and Print Records permissions to be enabled.

These permissions enable or disable Polygon POS Management reports which are available from the Reports menu.
