After you have changed your system configuration, your new settings (or any changes you may subsequently make) need to be downloaded to the POS terminals. To do this you ‘send an update’.
VERY IMPORTANT: NONE of the changes made within Polygon POS Management will be sent to the POS terminals until you instruct the system to do so by using the Terminal Updates window! Also, make sure that all the Terminals are TURNED ON when issuing the update, otherwise some terminals may not be updated.
You should always check your Terminals after sending any update to them, regardless of how small the update is, especially if you have a network of terminals. If there is a communication error some of the terminal settings may not be accurate. If errors are detected, send the update again until the problem is rectified.
Updates can be configured to be sent over a local area network (LAN) or over the internet by using web connection. Updates using web connection are only available when the Remote Location module has been purchased. These methods are selected from the POS Location Details form. For clients using web updates, once an update has been sent from the BOH, an update can be downloaded to the FOH by clicking the Web Updates button from the toolbar on the Master POS terminal. Any new updates will automatically be downloaded the next time the web server is accessed by the POS, e.g when resetting the day's sales. In order to update all POS terminals, it is important that all POS terminals are switched on when downloading web updates.
From Polygon POS Management, Click on the POS Network Updates button on the toolbar, or, Select POS Network from the main menu, then select POS Network Updates.

The POS Update Window
Updates can be limited to POS Locations, POS Areas or sent to all POS Locations and POS Ares. These details are selected from the Location list and Area list at the top of the form. To select a location(s) from a list click the browse button Updates can also be given a name which helps identify the purpose of the update. To name an update, type the update name into the Update Name Tag box. When an update is sent, a status window will display the update progress. To automatically close this window when the update completes, tick the Auto-close the status window when done tick box.

A number of updates types can be sent from the BOH. A group of these updates can be sent together if needed. The update types can be grouped into four groups. they are Data Updates, Image Updates, Software Updates, Web Databases. Each of these groups are described below:
Basic Users For basic users, sending a data update is a simple process: •Select the Location/s to update; •Select the Area/s to update; •Then select Full standard update; •Then click on the Send Update button.
Multi-Location Users For users that have both Corporate and Partner locations in their database the following options are available when sending a data update: •Full Standard Update - This update will send all files and will be sent to all locations; •Local Files - This update will send files that are controlled by the store; •Corporate Files - This update will send files that are controlled only by headquarters;

Custom images can be used for Product Keypad Buttons, Floorplan Keypads and Media Keypad Buttons. If an image is added to one of these keypads, it will need to be sent to the FOH. The Image Updates tab allows new images to be sent. Tick the tick box next to the item type which needs to be updated. The file list will be updated to show which files will be sent to the FOH.

To allow users to choose when Web Menu items are updated, a separate Publish Update to Web Menu Interfaces button enforces ordering items updates being sent independently of POS Network updates. This tab will not be present if the transition to MIM (Menu Information Manager) in Polygon Central has occurred for managing and maintaining customer ordering menus.
To send an update to Web Menu Interfaces: •Access the POS Network Updates in Polygon POS Management. •Select the Web Menu Interfaces tab. Please note that the Send Update to POS Network button is disabled while on this tab. •Tick any external menu systems that you wish to be included in the update. •Use the Publish Update to Web Menu Interfaces button. •When asked to confirm your intention to publish setup data to the Web Menu Ordering interfaces, choose the Publish Data button. The progress of the update will be displayed above the tab headers on the POS Network Updates window as shown above. If an external menu export has been requested, this will be sent immediately after the data update has been published and will only apply for POS Locations where the external module is enabled.

The Update Notice tab allows you to enter text which will be displayed when downloading this update at the FOH. For example, if new Special Offer items are being added to the system, an update notice saying "System Update, Special Offer Products Added". This will keep the FOH staff informed about how the POS system is being changed.

When updates are sent, each file being sent is shown in the File Transfer Status Window. When a file is successfully sent, a tick is shown in the left column. If a file can't be sent for some reason, a red cross will be shown in the left column.
Auto-close status window when done This option is available at the top of the POS Updates form. If you wish to view the File Transfer Status window after completing a POS update then this setting should be un-ticked.

Updates from this tab should only be sent under instruction from a Redcat staff member.

Once updates have been sent from the BOH they must be applied at the Front of House. See section FOH > Applying Updates for information about applying updates at the front of house.
